Approved, reusable images and instructional videos for responses and broadcasts.

Why approval

An image or video from the library has been vetted once, so a reviewer needn't scrutinize it again — it's marked from library in the preview. Anyone can add a candidate; it becomes usable once an admin approves it.

For a one-off file that belongs to a single message, don't use the library — use Attach file in the compose form. That needs no approval.

Who sees which items

Every item is owned by an entity. You see items owned by your entity, by entities above or below it, and by any entity on your entity's Can also select list. OPN's items sit at the root, so everyone sees them; an FI's screenshot is seen by that FI, the entities beneath it, and OPN — never by another FI.

Approving and retiring (admins)

An admin of the owning entity, or of an entity above it, can Approve or Reject a candidate and Retire an approved item. Retiring hides it from future pickers; anything already sent keeps referencing it.

Adding

  • Images — drop or paste a file, give it a label people would search for, and choose the owner (only OPN staff can choose; others' items are owned by their own entity).
  • Videos — either hosted here (upload an MP4, MOV or WebM; it's converted and given a poster frame in the background — the row shows progress, or why it failed) or linked from YouTube, Vimeo or a site of the owner's. Preview plays a hosted video in the tool. Inserted into a message as a labelled line: a hosted video's link is good for one hour after the message is sent, so it suits the exchange at hand; for anything a customer should keep, link a video hosted elsewhere. Copy 1-hour link gives you one to paste anywhere.

A hosted video (up to 500 MB) goes straight from your browser to storage, with a progress bar; the tool only learns where it landed and then processes it in the background. Closing the dialog mid-upload abandons it.
